The Executive Assistant provides high-level administrative and operational support to the Executive Director, ensuring the smooth and efficient running of the executive office. The role manages executive schedules, travel, communications, and project coordination, while serving as a trusted liaison between the executive and internal/external stakeholders. The position requires sound judgment, professionalism, and the ability to handle confidential information with discretion. Manage complex executive calendars, scheduling meetings, appointments, and conference calls, while efficiently prioritizing competing demands and ensuring optimal use of time and resources. Screen and prioritize incoming calls, emails, and correspondence, responding on behalf of the executive where appropriate. Coordinate domestic and international travel arrangements, including flights, accommodation, ground transport, and itineraries to ensure seamless travel experiences. Prepare, format, and present professional documents, reports, and presentations for executive, board, and external stakeholder meetings. Act as a key liaison between the executive office and internal/external stakeholders, representing the company professionally and maintaining strong working relationships. Conduct research and compile information to support various business projects and strategic initiatives. Lead and coordinate special projects on behalf of the executive, working with cross-functional teams to ensure timely delivery of agreed outcomes. Identify opportunities to improve administrative processes and operational efficiency within the executive office. Handle confidential and sensitive information with the highest level of discretion, integrity, and professionalism. Manage expense claims, voucher processing, and coordination with the Finance & Accounting Department for executive-related expenditures. Coordinate visa, immigration, and related documentation matters for the executive office as required. Oversee general office administration, including office maintenance, supplier coordination, and event support. Provide administrative support for corporate events, training sessions, and company activities, including planning, logistics, and on-site coordination. Undertake additional administrative duties as assigned by the executive to support the smooth running of the office.
